Acceptable Use Policy
This policy protects NuvoWage workspaces, sensitive employee information, payroll records, and generated banking and tax files.
2. Employee and Payroll Data
Authorized Collection and Processing
You must have all notices, consents, authorizations, or other legal authority required to enter, use, store, export, and disclose employee identity, tax, compensation, Social Insurance Number, banking, and payroll information through NuvoWage.
Relevant Information Only
Enter only information reasonably required for payroll administration and related employment, payment, remittance, reporting, or recordkeeping purposes. Do not use NuvoWage to store unrelated personal information or confidential material.
Safe Handling
Do not place passwords, authentication codes, encryption keys, complete payment-card details, or unrelated sensitive information in notes or free-text fields. Do not send full Social Insurance Numbers, complete bank account details, passwords, or encryption keys through ordinary support email.
Exports and Generated Files
You must protect downloaded pay stubs, payroll reports, CPA-005 files, T4 files, employee lists, and other exports. Store, transmit, share, and dispose of them using safeguards appropriate for sensitive payroll information. Generated files must be reviewed before they are submitted to a bank, the CRA, or another institution.
3. Prohibited Conduct
Security Abuse
You must not probe, scan, test, bypass, disable, or interfere with authentication, authorization, encryption, audit trails, access controls, rate limits, monitoring, or other service safeguards unless NuvoWage has expressly authorized the activity in writing.
Fraudulent or Unlawful Use
You must not use NuvoWage to create or submit fraudulent payroll records, false tax filings, unauthorized payment instructions, or misleading employment documents; facilitate tax evasion or wage theft; misuse employee information; or otherwise violate applicable law or another person’s rights.
Service and Automation Abuse
You must not overload or disrupt the service, introduce malicious code, use unauthorized bots or automated extraction tools, scrape non-public data, evade subscription or usage limits, resell unauthorized access, or use undocumented interfaces in a manner that threatens service security, availability, or integrity.
Protected Components
You must not copy, modify, decompile, reverse engineer, or attempt to obtain the source code of protected or non-public parts of NuvoWage except where permitted by applicable law or expressly authorized in writing.
4. Reporting Security Concerns
Security Reports
Report suspected vulnerabilities, unauthorized access, or exposed payroll information to hello@nuvowage.com with the subject “Security Report.” Include enough information for us to investigate, but do not include passwords, authentication tokens, full Social Insurance Numbers, complete bank account details, or unnecessary live employee data.
Responsible Handling
Do not exploit a suspected vulnerability beyond what is reasonably necessary to confirm and describe it. Do not access unrelated accounts or records, retain or disclose personal information, alter or delete data, disrupt the service, initiate transactions, or publicly disclose sensitive details before NuvoWage has had a reasonable opportunity to investigate and address the issue.
5. Enforcement
Investigation and Protective Action
We may investigate suspected violations and may restrict features, block generated files, limit or suspend access, preserve relevant logs and audit information, contact workspace owners, or take other reasonable measures to protect payroll data, users, third parties, and service integrity.
Notice and Restoration
Where reasonably practicable, we will notify the affected account or workspace owner and provide an opportunity to explain or correct the issue. We may act without prior notice when immediate action is reasonably necessary to prevent unauthorized access, fraud, data loss, service disruption, or other harm.
Cooperation and Termination
We may require identity, authority, ownership, or security verification before restoring access. We may also cooperate with lawful investigations or legal requirements. Serious, fraudulent, harmful, or repeated violations may result in permanent termination and other remedies available under applicable law or agreement.
